Terms of Service
Effective: May 31, 2026
These terms govern your use of JobWillow. By creating an account or using the platform, you agree to be bound by these terms.
1. Acceptance
By accessing or using JobWillow, you agree to these terms and to our Privacy Policy. If you do not agree, do not use the platform.
2. Eligibility
You must be at least 18 years old to create an account on your own. Users between 13 and 17 may use JobWillow only with the consent of a parent or guardian. If you are creating an account for or on behalf of an organization, you represent that you are authorized to bind that organization to these terms.
3. Accounts
- Provide accurate, complete, and current information when you register
- You may have only one account
- Keep your password confidential
- You are responsible for all activity that occurs under your account
- Notify us immediately at security@jobwillow.com if you suspect unauthorized access
4. Candidate terms
Application cap
JobWillow limits candidates to two applications per week, plus one bonus application unlocked by completing your profile to 100%. The cap resets every Monday at 00:00 Eastern Time. This is a core feature of the platform. You agree not to circumvent it by creating multiple accounts, using automated tools, or any other means.
Profile accuracy
Your profile, including university, major, work history, projects, and skills, must be honest and accurate. Misrepresenting your credentials is grounds for account suspension or termination.
Application intent
By submitting an application, you confirm genuine interest in the position. Repeated frivolous or non-serious applications may result in account suspension.
Demographic data
Providing demographic information for EEO purposes is voluntary. You may decline or withdraw consent at any time without affecting your ability to apply.
5. Employer terms
Admin approval
Every employer account is reviewed and approved by JobWillow before being able to publish listings or contact candidates. We may decline to approve, suspend, or terminate any employer account at our discretion if standards are not met.
Listing requirements
- Every listing must represent a real, currently-open position
- Salary range, application deadline, and hiring timeline must be accurate
- Listings must comply with all applicable employment laws, including federal and state anti-discrimination, wage, and hour laws
- Ghost listings are prohibited. Posting roles you do not intend to fill, or that have already been filled, will result in removal and may result in account termination.
Strict requirements on a listing
You may set a small number of hard requirements on a listing (for example, a specific major, minimum GPA, graduation year, work-authorization status, or a specific skill). Candidates who do not satisfy every requirement cannot apply to that listing. Strict requirements must comply with all applicable employment, anti-discrimination, and fair-hiring laws. You are responsible for ensuring that any requirement you set is lawful, job-related, and consistent with business necessity.
Work-authorization filters are subject to additional scrutiny. Filtering applicants by citizenship or work-authorization status is unlawful under the Immigration and Nationality Act (IRCA §274B) and Title VII unless required by federal law, executive order, or government contract (for example, security clearance, export-controlled work, or a federal subcontract). When you save a work-authorization requirement on a listing, you will be asked to attest in-app that the requirement falls within one of these narrow exceptions or is backed by a documented lawful business necessity. The attestation is recorded against your account. Setting a work-authorization filter without a lawful basis can subject you (the employer) to civil penalties and is grounds for immediate suspension from JobWillow.
Response obligations
- Respond to applications within 14 days of submission
- Respond after each interview round within the platform’s deadline windows
- Honor offers made through the platform
Applications that miss the response deadline are auto-declined by the platform. Repeated deadline misses negatively affect your reliability score and may result in account suspension.
Candidate outreach
Employer-initiated interest signals (“reach-outs”) are rate-limited per employer account per week. Reliability tiers may unlock additional weekly reach-outs. A per-candidate cooldown also prevents the same employer from contacting the same candidate repeatedly within a short window. Bulk outreach, scraping candidate data, programmatically duplicating accounts, and other forms of mass-contact behavior are prohibited.
6. Acceptable use
You may not:
- Post or transmit content that is fraudulent, misleading, illegal, discriminatory, harassing, hateful, or violates third-party rights
- Impersonate any person or organization
- Scrape, harvest, or otherwise collect data from JobWillow except as expressly permitted
- Use automated tools (bots, crawlers, scripts) to access the platform except via a documented API we have provided
- Reverse-engineer, decompile, or otherwise attempt to derive source code
- Interfere with the security, integrity, or normal operation of the platform
- Circumvent the application cap, employer approval process, response deadlines, or other platform mechanics
- Use JobWillow to recruit for jobs in industries prohibited by our content policy (for example, adult services, illegal goods, MLM schemes)
7. Content you submit
You retain ownership of the content you submit, including your profile, listings, messages, and files. By submitting content to JobWillow, you grant JobWillow a worldwide, non-exclusive, royalty-free license to use, store, display, and distribute that content as necessary to operate the platform.
You represent that you have all rights necessary to submit the content and that it does not infringe the rights of any third party.
Content that identifies third parties
Some content you may submit identifies someone other than yourself. Examples include intern testimonials on your employer profile that name an individual, describe their role or dates, display their photo, or quote them; and references you add to your candidate profile, where you provide a third party's name, work email, phone number, title, organization, and relationship to you. By submitting such content you represent that:
- You have the named individual's consent to share their information with JobWillow for the purpose for which you are submitting it (publication of a testimonial, contact about a reference request, etc.).
- Any quoted statement accurately reflects what the named individual said and does not materially misrepresent their experience.
- The contact information you provide for a reference is the correct contact information for that person and not, for example, a personal channel they have not authorized you to share.
- You will promptly notify JobWillow if the named individual withdraws consent.
JobWillow will remove third-party identifying content at the request of the named individual, regardless of your assertion of consent. JobWillow does not arbitrate factual disputes between you and the named individual about what was said. You are responsible for any claim brought by a named individual arising out of content you submitted about them.
8. JobWillow's intellectual property
The JobWillow name, logo, platform, software, and all associated content other than user-submitted content are owned by JobWillow and protected by intellectual-property laws. You may not copy, modify, distribute, or create derivative works without our written permission.
9. Subscriptions and payment
Founding tier
The Founding tier is free for early employers in each new market in exchange for their participation in launching the platform. Founding access does not expire as long as the employer remains in good standing.
Paid tiers
JobWillow may offer additional paid employer tiers in the future. Pricing, billing frequency, included features, and any listing or reach-out limits for those tiers will be described on the pricing page or in your subscription confirmation at the time you subscribe. Paid billing is not active today; every approved employer is currently on the Founding tier.
Billing and renewal
When paid plans are active, the following apply:
- Subscriptions automatically renew unless cancelled before the renewal date
- You can cancel any time from your account settings. Cancellation takes effect at the end of the current billing period.
- Fees are non-refundable except as required by law
Price changes
We may change pricing with at least 30 days’ notice. Price changes take effect on your next renewal date.
Failed payments
If a payment fails and is not corrected within a reasonable time, we may suspend your access to paid features. Your free Founding-tier access (if applicable) is unaffected.
10. Termination
You may close your account at any time from your account settings.
We may suspend or terminate your account if you violate these terms, fail to pay applicable fees, or for any other reason we consider reasonable. Where practical, we will provide notice and an opportunity to cure.
On termination, your access to the platform ends. Some information may be retained as described in our Privacy Policy.
11. Disclaimers
JobWillow is provided “as is” and “as available.” We do not guarantee:
- That any candidate will receive an offer
- That any employer will fill a position
- That every interaction will be successful or accurate
- That the platform will be uninterrupted or error-free
- The accuracy or truthfulness of user-submitted content, including listings and profiles
Platform role
JobWillow is a technology platform that helps candidates and employers find each other. JobWillow is not an employer, employment agency, recruiter, talent representative, or staffing service.We are not a party to any employment relationship between candidates and employers, and we have no obligation to ensure that any offer is made, accepted, or honored.
What admin approval means and does not mean
Admin approval of an employer account is a basic verification that the company exists and that we have working contact details. It is not a background check, credit check, identity verification, license verification, or endorsement of any kind.
- We do not perform background checks, criminal-history checks, identity verification, employment verification, credential verification, or credit checks on candidates or employers.
- JobWillow provides a tracking widget that lets employers record the status of a background check (pending, completed, clear, flagged) for an application. The check itself is run off-platform by the employer or by a third-party provider the employer chooses, under the employer’s own legal basis and at the employer’s own expense. JobWillow does not order, conduct, or receive the underlying report, and the tracking widget is not adjudication, certification, or endorsement of the result.
- We do not warrant the legality, accuracy, or quality of any job, candidate, application, message, interview, or hiring decision facilitated through the platform.
- Candidates and employers are responsible for conducting their own due diligence before accepting employment, extending offers, or sharing sensitive information off-platform.
12. Limitation of liability
To the maximum extent permitted by law, JobWillow’s total liability for any claim arising from your use of the platform is limited to the greater of: the fees you paid to JobWillow in the 12 months before the claim arose, or one hundred U.S. dollars ($100).
JobWillow is not liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, including lost profits, lost data, or business interruption.
Some jurisdictions do not allow these limitations. In those jurisdictions, our liability is limited to the maximum extent permitted by law.
13. Indemnification
You agree to indemnify and hold JobWillow harmless from any claims, losses, liabilities, and expenses (including reasonable attorney fees) arising from your content, your use of the platform, or your violation of these terms.
14. Governing law and disputes
These terms are governed by the laws of the State of Tennessee, without regard to conflict-of-laws principles.
Any dispute arising from these terms or your use of JobWillow will be resolved in the state or federal courts located in Knox County, Tennessee. You consent to the exclusive jurisdiction of those courts.
15. Changes to these terms
We may update these terms from time to time. If we make material changes, we will notify you by email or by posting a notice on the platform before the changes take effect. Your continued use after changes take effect indicates acceptance.
Recent material changes
- May 31, 2026: Updated the candidate-outreach rate-limit description to reflect the per-employer-account weekly cap plus per-candidate cooldown (§5); added a note that employer-set strict listing requirements must be lawful and job-related (§5); broadened the third-party consent clause to cover candidate-submitted references as well as testimonials (§7); generalized the paid-subscription language to point at the live pricing page instead of naming specific future plans (§9); and clarified that the background-check tracking widget records status only, while the check itself is run off-platform by the employer or a third-party provider (§11).
- May 18, 2026 — Added a third-party consent clause to §7 covering testimonials and other content that identifies someone other than the submitter.
16. Miscellaneous
- Entire agreement: These terms and the Privacy Policy are the entire agreement between you and JobWillow regarding the platform.
- Severability: If any provision is found unenforceable, the remaining provisions remain in effect.
- No waiver: Our failure to enforce any right does not waive that right.
- Assignment: You may not assign these terms without our consent. We may assign these terms to a successor.
- Force majeure: We are not liable for failures caused by events beyond our reasonable control.
- Survival: Sections governing intellectual property, content licenses, disclaimers, limitation of liability, indemnification, governing law, dispute resolution, and these miscellaneous provisions survive termination of these terms or closure of your account.
17. Copyright and DMCA
JobWillow respects intellectual-property rights and complies with the Digital Millennium Copyright Act (DMCA). If you believe content on the platform infringes a copyright you own or control, you can send a written notice to our designated agent at dmca@jobwillow.com.
A valid notice under 17 U.S.C. § 512(c)(3) must include:
- Identification of the copyrighted work claimed to have been infringed.
- Identification of the allegedly infringing material and its URL on JobWillow.
- Your contact information (name, address, phone, email).
- A statement that you have a good-faith belief the use is not authorized by the copyright owner, its agent, or the law.
- A statement, under penalty of perjury, that the information in the notice is accurate and that you are authorized to act on behalf of the owner.
- Your physical or electronic signature.
If we remove or disable access to your content based on a notice and you believe the removal was in error or misidentification, you may submit a counter-notice with the elements required by 17 U.S.C. § 512(g)(3). We will terminate accounts of users who are repeat infringers.
18. Disputes between users
JobWillow is not a party to any agreement, arrangement, dispute, or relationship between candidates and employers, or between any other users of the platform. If a dispute arises between users, including disputes about employment, compensation, conduct during interviews, background checks, or workplace incidents, you agree that:
- JobWillow has no obligation to mediate, arbitrate, or resolve the dispute.
- JobWillow may, at our sole discretion and where consistent with applicable law, provide platform records to one or more parties or to a court.
- You release JobWillow from any claim, demand, or damages arising out of or related to a dispute with another user.
Nothing in this section limits the platform’s commitments to comply with valid legal process or its own published moderation and takedown policies.
19. Accessibility
JobWillow is committed to making the platform accessible to all users. We work toward conformance with the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA where feasible. If you encounter an accessibility barrier, please contact accessibility@jobwillow.com with a description of the issue and, where helpful, the URL or screenshot. We will make reasonable efforts to provide the requested information through an alternative communication method.
